On March 3rd, 2025, I called for a delivery of heating oil. The following day on March 4th, 2025, I paid for that delivery in full at the physical office with my 19 year old daughter. I then received that delivery the following day on March 5th, 2025. I called this morning for another delivery, and was informed that there was an increase in prices on March 5th, and I owe them money for the last delivery. I was told that something was mailed to me informing me of the price increase and that I now owe for the last delivery I already paid in full for. I was not sent any documentation, and I have the receipt from the delivery of the transaction saying that I paid in full for that last delivery and there was $0.00 owed.Business Response

I'd like to start off by saying my first delivery went fine, and wasn't charged until after delivery. When it was time for my second delivery however I was charged a week prior and payment cleared the day before delivery. Thought it was odd since supposedly the billing info was simply to be on file to get the delivery, but didn't really think too much about it. Waited a week after delivery to call and ask about my refund to allow for processing, they had no idea of the discrepancy and an older woman said she'd process the refund. Another week goes by so I call again and a different woman tries to tell me that they can't refund, it has to be a credit. I say excuse me, the f*** it does. She talks to someone and explains if I want a refund before the 27th I can send in bank statement to prove payment has cleared, they didn't approve because the banks logo was only visible on the statement and it's personal info on the last page. They also wanted to see every transaction I made that month. I refused the invasion of privacy because at this point the 27th was only a week away. I called the 31st and when I asked the woman why I have still not received a refund she snaps at me that it's the middle of winter whining that they are sooo busy. Yall are busy one season of the year, acting like it's my fault they are failing at doing their job. Not understanding it's not the customers responsibility to chase a refund, let alone not understand the frustration of dealing with their short comings as it's not my job to make sure they are doing their job. My payment cleared the 31st of Dec, they said I'd get a refund the 27th of Jan, when I called the 31st of Jan for no refund she said she'd process the refund, it is now the 4th of Feb and I still have not received my refund of over $75 for being over charged and I am tired of trying to chase my money - invoice available, not currently with meBusiness Response

When the customer called 100 gallons of fuel was ordered, the minimum amount that can be ordered with out a fee. Purchase price was $296.90. The customer only took 73.9 gallons, leaving a credit on the account for the amount of $77.49.
When using a checking account, we ask the customer to show us proof of the check clearing the account. This can take up to 30 days. When the customer uses the E-Check we have to issue and mail out a paper check. Paper Check was issued 2/4/2025 in the amount of $77.49, leaving the customer with a zero balance.Customer Answer

Businesses and Customers should be civil, courteous and polite in their responses to complaints. It is important to remain professional and productive when participating in the BBB complaint process.Regardless of how much was ordered to meet your minimum and how much actually fit at the time of delivery has nothing to do with providing me a refund by the deadline YOUR COMPANY set or charging me prior to delivery without authorization??Also it was a direct debit using a **** card with which I provided verification of payment with a date and time from my bank statements of when it cleared my account prior to recieving the oil delivery. I have the right to refuse to let you see every transaction made - that does not give you the right to not give me a refund in the time frame your company set. Unfortunately you'll have to void that check due to your poor communication skills as my physical address is not my mailing address. If you feel you need to send a paper check please ensure it is sent certified mail along with providing the tracking # to *********************************. I do find it interesting how I was still not issued a refund until AFTER making the complaint with the BBB, even though I was told it would be processed the 27th then the 31st of Jan.. guess it was a good thing I reached out to them on the 4th of Feb instead of wasting more time with your company. And without even an apology for my inconvenience due to your companies short comings or the numerous times I was told I'd be refunded and still had to chase my money. Also $30 of that $77 was a 10% discount for paying early so I'm not quite sure why yall are so **** hurt over providing this refund

The check was mailed out on Feb 4 to the address that is listed on the home screen of the account. That is also the same address that is listed in this complaint. There was not a Certified Mail put onto the check whereas the check was mailed before the request happened.Customer Answer

FAQ
Regards,Dakota
Have not received anything in the mail, has been eight days since supposedly being mailed. Spoke with them on the phone this morning since they hadnt replied on BBB - they'd like to wait until the 18th of Feb to allow 2wks since being mailed before further assistance. Asked them to void check since I haven't received anything and send again certified, ******* was appalled at the thought of "wasting" $10 for secure delivery, stating a check wasn't an important document to require the tracking, insurance or security that would come with mailing certified. However the check is now lost with no tracking.. proving the importance of secure delivery since it has now been almost 2mons since I was over charged prior to recieving oil

********************** called the Lancaster Heating *********** He wanted them to set temporary tanks for a new ***** square foot addition onto his rental property. At this time we were unable to accommodate his request. Typically we ask customers to call us in the Spring to set up a time for a site evaluation. As the calendar shows it is Spring, the conditions of the ground are not favorable and we were unable to meet his time frame of needing tanks set. Unfortunately this was not explained to him during his call with the Lancaster Heating *********** We have since reached out to ********************** and let him know that we at this time are able to set tanks. ********************** stated that he was going to have another provider set his tanks tomorrow.
********************** did state that he would consider coming back to us in the future.Initial Complaint

As of November 24th 2023, I had my oil tank account switched to auto refill. The tank is now empty and I am being charged for a restart. After speaking with a rep on the phone I was told that my account should not have been put on auto refill and that ******* that did this was new. An apology was given but Im still being charged to have it restarted. This is a 75$ fee that I should not be charged for. The error was on Cn browns end and yet I have no choice.Business Response
